ERP SYSTEMS ANALYST
This position is a full-time position within the Information Systems Department. The Enterprise Resource Planning (ERP) Systems Analyst is responsible for the planning, implementation, upgrades, and maintenance of the organizational ERP systems.
PRIMARY RESPONSIBILITIES: This position reports to the ERP Systems Analyst (Senior Level) at the HCJB Global Ministry Service Center in Colorado Springs, Colorado.
TASKS PERFORMED: BASIC DUTIES
Essential and other important responsibilities and duties include, but are not limited to the following:
Responsible for the application security process, user setup, role privilege definition, assignment and security permissions and overseeing the installation and/or upgrade of software package releases
Develop information and data requirements for in-house enhancements to the ERP systems including tables, reports, user interfaces, etc., and to build and implement as needed
Responsible for requirement analysis and design specifications of any new portion of the ERP systems
May serve as a project coordinator and act as an active participant at all stages of any new/upgraded ERP software
Interface with the departments and other systems providers to resolve conversion, updates and/or production issues
Primary helpdesk contact to resolve mainly software issues related to ERP systems
Provide support to end-users during all phases of software implementations and upgrades
Maintain and update application software as needed; confer with vendors regarding system and database related issues and our other internal IT staff for operating systems and hardware
Review and approve documentation for the ERP systems and communicate any procedural changes to appropriate staff members
Provide assistance to users extracting information from the ERP systems as well as SSRS report revision/creation as needed
Backup all production and test databases
Perform related duties and responsibilities as required

POSITION: Part-time, entry-level non-exempt position, 20 hours per week. This is a part-time job share position.
PRIMARY RESPONSIBILITIES: The Receptionist position reports to the Director of Donor Data Management. The receptionist is directly responsible for full-time phone coverage of the front desk and mail room.
SPECIFIC TASKS PERFORMED:
Open the Ministry Service Center by 8:55 a.m.
Check voice mail and route to appropriate extention or voicemail boxes.
Announce chapel or devotions daily at 8:07 a.m.
Maintain daily log of employees entering and leaving the building.
Process reservations for the use of Board Room, Conference Room, Chapel/Kitchen, Studio.
Check for faxes in Microsoft Outlook email inbox.
Stuff and meter receipting envelopes.
Secure office entrance, receptionist area, and mailroom, when closing the office at 4:00 p.m.
Print out and post weekly schedules for meeting rooms schedules and other facilities.
Print “We Prayed” letters and post cards and take to chapel for the upcoming week.
Update address labels using mail merge software.
Print and mail new donor packets.
Email birthday, wedding anniversary and HCJB Global anniversary announcements Maintain Excel spreadsheet for the birthdays and anniversaries.
Make sure all work hours at the front desk (for the upcoming month) are filled.
Enter donor contact data from outside reps into Donor Studio.
Mail Estate and Gift Planning donor birthday cards.
Other duties as assigned
ESSENTIAL FUNCTIONS:
Welcome guests, as well as greet staff members. Retrieve voice mail messages and respond, or forward accordingly. Distribute messages and deliveries to department mailboxes, while notifying staff member.
Greet visitors, instruct them to sign visitor’s log, issue name badges, and inform the staff member they’re visiting.
Keep “Out-of-Office” book and daily log accurate.
Maintain record of mission vehicle usage, collecting copies of a valid driver’s license, and mileage forms from all who use them, giving to Finance to file.
Maintain Travel Log and keep updated on the Hub.
Arrange for office tours.
Maintain Mailroom Manuals and Caller Hints binders.
Train fill-in receptionists and maintain instructions the reception area.
Maintain a safe, uncluttered, clean receptionist area and west lobby. Other jobs as assigned by supervisor.
Must have knowledge of and the willingness to follow Emergency procedures.
Mail Distribution Responsibilities:
Send mail, bi-monthly, the Quito mail to the Ecuador office. Sort mail.
Meter outgoing mail.
Receive, sort, and appropriately distribute all incoming mail.
Serve as liaison with the US Postal Service and package delivery companies.
Keep up-to-date information on rates, regulations, and procedures of domestic and international mail/packages.
Ship displays to churches, staff members, conferences, missionaries, and donors, as requested.
Maintain an organized, clean, and safe mailroom area.
Maintain and service postage meter and scale as needed.
Serve as an information center for other staff members by answering questions. Train fill-in mail clerks that may substitute as needed.
Print monthly postage totals, enter into spreadsheet and e-mail to Lucy.
